How to Get Guest Email from Airbnb the Legal Way
A playbook for STR operators: capture guest contact on owned channels during the stay — without an Airbnb messaging workaround — and turn it into a profile tied to stay history.

You exported guests from Hostaway, Guesty, OwnerRez, Hospitable, or a similar PMS and stared at an @guest.airbnb.com address — or a blank email field. The reservation looks like a contact. It is not a marketing list. This page is the path after that fact: why the row is often unusable, what you can collect during the stay with consent on channels you own, and how that contact becomes a guest profile tied to stay history.
This is not a past-guest winback sequence, not soft-week selection, not a commission essay, and not a WiFi splash hardware buyer guide. The blocker is the alias. The method is owned-channel capture with marketing consent separate from stay logistics. The payoff is a profile you can write later on email, SMS, RCS, or WhatsApp which is the input winback and fill-open-nights pages already assume.
The email in your PMS is often not yours to market
After an Airbnb stay — and often a Booking.com stay — the reservation contact field is frequently a masked alias, a relay, or empty for email. That address is useful for running the trip through the platform inbox. It is not useful for a post-stay campaign. Vrbo and direct bookings often share a real address, but "we were given it" is still not marketing consent.
Operators already see the pattern in exports. OwnerRez's Email List Report excludes masked OTA domains by default. Hospitable operators still ask how to get real phones and emails into exports and Mailchimp. The pattern is the same across tools: a contact-shaped field that bounces, expires, or was never meant for your newsletter.
Why is the guest email in my PMS often useless for marketing? Many OTA reservations store a masked alias or relay meant for platform messaging for that trip, or store no email at all. That field can look like a contact in an export and still bounce, expire, or violate platform and privacy rules if you blast it. A marketing list needs a real address the guest gave you plus consent to market — which is a different job from having a reservation row.
Boundary for everything below: this page teaches how a consented, owned contact is collected during the stay and becomes a profile. It is not how to write the winback sequence, pick soft-week recipients, or pick a captive-portal SKU.
Alias, stay contact, and marketing consent are three different things
Keep these three definitions separate. The rest of the page uses them.
OTA alias / relay. A platform-mediated address or number for the reservation. Not a list you own. It may expire or stop working after checkout. It exists so you can message that trip through the OTA, not so you can paste the export into a campaign tool.
Stay-logistics contact. A real email or phone collected so you can run the stay — arrival, lock codes, deposit, local requirements. Necessary for operations. Not automatically permission to market.
Marketing consent. A separate, explicit yes to future offers, availability, or loyalty on a channel the guest chose. Required before winback, soft-week, or newsletter sends.
What not to do: collapse all three into "we got their email." That is how operators end up pasting an export into Mailchimp and calling it a list.
What not to do on the OTA thread
Do not solicit a personal email, phone, or mailing-list signup through Airbnb messaging — or through the old alias — for marketing or to move future bookings off-platform. Do not put a direct-booking URL, a "skip the fees" line, or a signup link in the platform inbox as a workaround. Stay logistics and review requests that belong on the platform can stay there.

Capture guest contact during the stay — on channels you own
How do I get a guest email from Airbnb the legal way? You do not pull a personal email out of Airbnb, and you do not ask for one in Airbnb messages in order to build a marketing list. During the stay, invite the guest to share a real email or phone on a channel you own — guidebook, your form, in-property opt-in, or similar — with a clear privacy note. If you want to market later, use a separate marketing opt-in. Then store that contact on the guest's stay record so it is a profile, not a stray spreadsheet row.
In practice, "capture guest contact during the stay" means the guest voluntarily gives a real email or phone in exchange for something useful — stay info, preferences, tips — with a clear privacy note and a separate marketing checkbox when marketing is the goal. Immediate pre-arrival on a link you own counts the same way. The surfaces below are jobs, not product demos.

Forms / check-in on your site or portal. Arrival info, party details, preferences — with marketing consent unticked by default. Collect what you need for the stay. Keep the marketing yes separate and explicit.
In-property opt-in. A printed card, a QR to your form or guidebook capture topic, a welcome-binder signup. Same job as the digital surfaces, low-tech version. Useful content first; optional signup second.
WiFi splash / captive portal. Ranking pages often push this method. Guests can share a real email with consent when they connect. Acknowledge it as one common path. This page does not become a router tutorial or a hardware shootout. If you already run a captive portal, treat the consented contact the same way as any other owned-surface capture: attach it to the stay, store consent, do not assume the connect alone is a newsletter signup.
What not to do: withhold door codes as a "gatekeeper" trick sold as marketing capture. Do not present access-withholding as the method on this page. Do not tell readers to solicit emails inside Airbnb chat after checkout. Identity and verification for the stay are ops jobs; marketing consent is a different checkbox.
Guidebook email capture for vacation rentals
How do I collect email from OTA guests with a vacation rental guidebook? Make the guidebook useful for the stay first. Offer an optional signup with a plain explanation of what you will send, a privacy link, and a separate marketing checkbox when the goal is future offers. Do not use the guidebook link inside an OTA message as a way to pitch "book direct next time." Attach any consented contact to that guest's profile and stay history so you can write them later on a channel they opted into.
The job of the guide is stay content. Capture is optional and honest. Explain what they get if they share an email — local tips, return-guest notes, early dates — only when that is true. If you deliver a guide link through an OTA message, keep marketing capture configuration honest and channel-aware. The guide can still help the stay. Do not treat the OTA delivery path as permission to pitch the next direct booking inside the platform thread.
Who on the booking party do we have contact for?
The booker is not the whole trip. Airbnb and many OTA flows give you the reservation's primary guest — often masked. Co-travelers never appear as contacts unless something during the stay collects them: guidebook capture, WiFi login per device, additional-guest fields on a form.
For marketing and for emergencies, that difference matters. Design capture so additional adults can opt in. Do not assume the booker's alias covers the party. Guests who refuse are fine — do not pressure. Do not invent marketing consent from a completed rental-agreement field that was only for logistics. A logistics email is stay contact. Marketing yes is still a separate job.
Export guest email from the PMS is not the finish line
Exporting reservations is useful for ops and for seeing who already has a real address — direct stays, and often Vrbo. It is not "building a list." Filter out masked domains. Do not blast anyone without marketing consent. A CSV goes stale the moment the next stay happens.

From consented contact to a guest profile you can market
After capture, the job is identity. Attach the real email or phone to the stay history that already lives in the PMS — property, dates, channel, spend if stored. Store consent and channel preference. Make that profile available to journeys and campaigns.
Without that step, capture tools dump rows into Mailchimp with no stay context — the workaround operators already complain about when the export is full of aliases and the campaign tool has no property or last-stay field.
A contact is marketable when it is consented, a real address, not suppressed for a bad stay, and tied to at least one stay or inquiry you recognize. Link the profile work to guest data platform and guest contact lists. Do not restage those product pages here.
Once the profile exists, the asks live elsewhere: the past-guest winback sequence, and soft-week or gap outreach to guests who fit open nights. Those pages assume the contact is already owned. This page stops at ownership.
Channel differences without a TOS essay
Operational differences — not legal advice. Policies change; do not freeze any blog paraphrase as eternal law.
Airbnb. Expect masked or missing email. Use the platform inbox for the stay. Do not solicit marketing contact on-thread. Capture on owned surfaces with consent.
- Booking.com. Often an alias-style relay. Message links may be filtered depending on how partner messaging is set up — treat that as ops reality for the stay, not as a reason to move marketing into the extranet.
- Vrbo. A real email or phone is often shared after acceptance. Still get marketing opt-in before campaigns.
- Direct. The contact is yours from the start. Still separate marketing consent from booking terms.

## How to tell capture is working
Look at share of OTA stays that end with a real email or phone on file; share with marketing consent yes; booker-only versus additional-party contacts; alias rows still sitting in the PMS unused; and whether consented profiles are flowing into a segment you can send. Those are operational checks. They are not published capture-rate benchmarks — do not borrow competitor splash conversion figures and pretend they are yours.
What this is not: winback copy, gap-night selection, or inquiry recovery. Those jobs start after you own the contact.
