Getting Started with Yada Marketing

Start here:

Step 1: Connect your Email, SMS, and WhatsApp channels

Use the help article here for email setup. SMS is either done through integrating Quo (help article here) or via Yada SMS directly via the Integrations tab. Same with WhatsApp.

Step 2: Confirm your Journeys are live

Check your post-checkout and pre-stay automations first, followed by inquiry abandonment.

Step 3: Edit your Campaigns

Create or review monthly SMS and email campaigns are going out and review performance.

Step 4: Review Signals

Use the Daily Review screen to send a few targeted messages to likely repeat guests. Automate the Seasonal Return and Empty Weekend signals next.

Step 5: Follow up in Opportunities

When guests respond positively, continue the conversation in Opportunities by clicking on the notification you receive.

Start with the parts already live in your account and grow from there.

Quick pre-onboarding checklist

Please have these ready for onboarding:

  • Access to your domain/DNS account, or the person who manages it.
  • The domain you want to use for marketing emails.
  • Your legal business name.
  • Your EIN or business tax ID.
  • Your business address.
  • Your business website.

Details:

1. Domain and DNS access

To send marketing emails from your brand, Yada needs to authenticate your sending domain. That requires adding a few DNS records.

DNS is usually managed wherever your domain was purchased or wherever your website is managed.

Common places to check:

  • GoDaddy
  • Namecheap
  • Cloudflare
  • Squarespace
  • Wix
  • Bluehost
  • SiteGround
  • Your web developer or website agency

Before the call:

  1. Confirm where your business URL has its DNS managed.
  2. Make sure you can log in, or invite the person who can.
  3. Do not make DNS changes yet. Yada will give you the exact records.

If you are not sure where DNS is managed, search your email for your domain name plus words like GoDaddy, Namecheap, Cloudflare, Squarespace, Wix, domain, or DNS.

2. Marketing email setup

Yada will help set up a sending domain so marketing emails can come from your brand.

Recommended setup:

  • Use a subdomain such as mail.yourdomain.com, hello.yourdomain.com, or updates.yourdomain.com.
  • Keep your normal business email unchanged.
  • Do not use Gmail, Yahoo, Outlook, or another personal inbox domain for marketing sending.

What Yada will do:

  1. Confirm the best sending domain with you.
  2. Generate the DNS records.
  3. Walk you or your DNS admin through adding them.
  4. Verify the domain.
  5. Confirm sender name and reply-to details.

3. SMS phone number

Yada will give you a phone number for SMS marketing.

Before the call, decide:

  1. Who should monitor guest replies?
  2. What business and host name should appear in message copy?
  3. Are you already using Quo/OpenPhone or another business texting tool?

4. EIN and carrier registration

US carriers require business verification before approving marketing text messages. This is called carrier registration or A2P 10DLC registration (that's Application to Person 10 Digit Long Code if you're interested).

Please have these details ready:

  • Legal business name exactly as registered.
  • DBA or public brand name, if different.
  • EIN or tax ID.
  • Business address.
  • Business website.
  • Business phone number.
  • Business contact name, email, and phone.

Important: do not guess the EIN or legal business name. If those details do not match, carrier approval can be delayed or rejected.

Yada will help with the registration flow and sample message language.

5. Brand Settings

Yada will use your brand voice and details about your business to customize your messaging. Enter it in as much detail as you can in your Yada account here: https://app.yada.ai/settings/brand. The most important items are Sender First Name, Timezone (for scheduling messages), and Direct Booking Site URL.

6. Your first Journeys

Journeys are automated follow-ups that help bring guests back, recover missed bookings, or offer upsells at the right time.

Common starter Journeys:

  • Inquiry Winback: follows up with guests who inquired but did not book.
  • OTA to Direct Conversion: encourages past OTA guests to book direct next time.
  • Direct Booking Nudge: follows up after checkout with a direct booking path.
  • Gap Night Upsell: offers pre-stay or post-stay extension opportunities.
  • Seasonal Return: brings past guests back during relevant travel windows.

Before we activate Journeys, we will confirm:

  1. Which listings should be included.
  2. Which channel should be used: email, SMS, or both.
  3. Message copy and timing.

We will not activate a Journey that sends through a channel that is not ready.

7. Your first Signals

Signals are micro campaigns targeted to individual guests based on indications that they are likely to book.

Common starter Signals:

  • Empty weekend within 30 days of today
  • Seasonal return — guests who booked around the same season in years past
  • Local contact — based on location, inviting them back for a stay
  • Gap night fill — for spaces in your calendar, offering them to the most likely guest

To activate Signals, click on Daily Review and go through the messages once those channels are live. You can also automate them, one Signal type at a time, and set a daily limit of messages to be sent.

8. Your first campaigns

Once your data and channels are ready and you've started sending out emails via Signals and Journeys, you can start your first marketing campaigns.

Typical first campaigns include:

  • Repeat guest SMS or mail campaign.
  • Seasonal return offer.
  • Special event interest notification.

During onboarding, we will confirm:

  • The audience.
  • The offer or call to action.
  • Brand voice.
  • Who handles replies.
  • When the first send should happen.

If email or SMS approval is still pending, Yada can still prepare drafts so they are ready as soon as the channel is approved.

What happens after onboarding

After the onboarding call, Yada will send notifications when:

  • A guest replies positively and you can follow up with it
  • A guest books from one of your campaigns

The goal is simple: get your sending channels approved, prepare your first marketing campaigns, activate the right Journeys and Signals, and keep you informed as Yada starts working for you.
