How to Get Started With Yada

Steps for activating your Yada account

Step 0 - Create Listings

Step 1 - Integration + Workflows

  • Integrate with your property management system
  • Set up first 2-4 workflows
  • Set up win-back sequence for abandoned inquiries
  • Turn on BuyTime with Guidebooks so they start collecting guest contact info and deflecting questions
  • Add any agents to Yada who you want to have logins and receive notifications

You can now check off each Task in Yada for the steps you just completed. Access your Tasks here under Type = Onboarding.

Step 2 - Add Chat Widget and Popups to Direct Booking Site

Next, install the Yada chat widget and popups to start collecting emails from people on your website. The chat widget will allow the AI Autopilot to respond to booking conversations on your behalf and send winback messages via chat and email for abandoned inquiries.

  • Copy the chat widget code to the clipboard

  • Access the Settings for your direct booking site (here's an example of that for Hostaway, where you click Booking Engine > Settings > Advanced)

  • Paste the above code into the head section of your site. It won't work if it's added within the body tags of your site. If you have any trouble with this step email us at team@yada.ai and we'll help you with it.

  • Customize its Appearance and Behavior then the widget will start interacting with your website visitors.

  • Create a Popup to capture even more email addresses from your website

  • Configure the popup with the offer and settings you want

  • Activate the popup by clicking the green button and you're live!

  • Navigate to your direct booking site to make sure everything looks right to you.

Step 3 - Add Content to All Listings

  • Update listing content that didn't get filled out from the Airbnb or PMS sync
    • For content that applies to multiple listings, use Listing Groups
    • For content unique to each listing, use the Content Cards within each Listing
      Note: YouTube, Vidyard, or Loom videos will render inline within your Guidebooks when you paste the video link into a Content Card. 
  • Add any existing PDFs or Canva links you want included by going to:
    Listings > [Click the property] > Settings > Websites and Links
    The documents will be rendered inline on the Home page of your guidebook as well as the Host Notes tab on the bottom.

  • You're now ready to have Yada respond automatically to up to 30% of incoming questions. Just toggle Autopilot to On for all listings where you've added content

You're making great progress! Check off any Listing Content or AI Autoresponse tasks in Yada here under Type = Onboarding.

Step 4 - Send Out Guidebooks

Guidebooks are automatically generated when you connect your PMS to Yada. The more complete your Content Cards or Listing Groups, the more helpful your guidebooks will be. If Step 2 is complete (or even mostly complete), then the hard work is done! Now you just need to get those resources into the hands of your guests. Here's how:
  • Add the Guidebook URL for each property your PMS automated messaging, e.g. welcome messages, checking-in, etc. Here's how (it's crazy simple): 
    • For Guesty, edit the automated message that you want to include a Guidebook link and type {{yada_url}} where you want the link to go. For example, "P.S. Most questions can be answered in our helpful guidebook, which you can access here: {{yada_url}}" That token will populate with each Listing's associated Guidebook automatically, because of the Guesty / Yada integration.
    • For Hostaway, edit the automated message that you want to include a Guidebook link and type {{listing_yada_url}} where you want the link to go. For example, "P.S. Most questions can be answered in our helpful guidebook, which you can access here: {{listing_yada_url}}" That token will populate with each Listing's associated Guidebook automatically, because of the Hostaway / Yada integration.
  • Activate BuyTime guidebook deflection by clicking BuyTime in the left navigation and toggling on "Include Guidebook Link". That will automatically send out guidebooks along with your BuyTime messages through the PMS messages.

Step 5 - Smart Spaces

Smart Spaces help you handle guest questions before they even ask, by placing the relevant content in the space where the question is most likely to come up. For the quickest implementation of Smart Spaces that will handle the most questions, do the following:

  • Create the Smart Spaces cover card for your properties

  • Make 2 copies of the cover card, one for the refrigerator and one for the coffee table or other central location. For the most effective results, laminate the cover cards and use an adhesive magnet (like these) for the back of the cover card that will go on the fridge.
